HR Administrative Assistant

List of Responsibilities

  • HR Hotline
    • Monitors hotline, logs all calls
    • Disseminates calls to appropriate manager. Follow-up to ensure completion
    • Maintains tracking log
  • Terminations
    • Receives/files “Section One” for all terminated associates
    • Provides initial and refresher training for properties as needed
    • Works closely with payroll regarding any issues related to terminated associates
  • Backgrounds
    • Processes all initial results and forwards any “flags” to Staffing Manager for review
    • Creates e-file for each candidate
    • Sends all email notifications to GMs (except Adverse notifications)
    • Mails out Pre-Adverse letters to candidates
    • Maintains tracking log
  • I-9s / E-Verify
    • Trains/Certifies GM/AGM/Ops Managers as needed
    • Audits Property I-9s
    • Assists properties with any I-9/E-Verify issues as needed*
      • Although both the I-9 form and E-Verify are now initially processed through TalentReef, there are occasional issues where clarification is needed. Also, internal property transfers still require manual completion of both.
  • Birthday/Anniversary/Sympathy Cards
  • GM/DOS Review Tracking
    • Maintains/Updates tracking spreadsheet
    • Sends out reminders for past-due reviews
    • Collects/files completed reviews (for GM) in personnel files
    • Updates ADS with new salary information
  • GM Files – maintains GM personnel e-files
  • GL/Property Claims
    • Completes all initial reporting
    • Maintains/sets-up e-files
    • Assists Risk Mgr with follow-up as needed
  • GM BEST Class
    • Coordinates hotel stays for participating GMs
    • Agendas/Certificates/Folders
    • AM/PM Setup and Breakdown of Conference Room
    • Lunches/Snacks
  • AOS – Track sign-in sheets
  • EEOC / EPLI Files
    • Set up e-files
    • Collects/compiles information requests for attorneys
  • Property Subpoenas
    • Collects information requested and forwards to appropriate office
  • EEO-1Report
  • WageWatch – assists with collection and compilation of data
  • Innovations
    • Organize/Update/Remove forms as needed
  • Orders Supplies
  • Orders/Distributes Associate Handbooks to Properties
  • Monitors/Updates HR Calendar
  • Assists Benefits Coordinator during open enrollment - creates binders/scans enrollment forms/data entry
  • Assists with all other special projects within the HR department
